Maintaining clean, up-to-date contact lists is essential to preserving a strong sender reputation and ensuring your campaigns land directly in the inbox. With major mailbox providers like Gmail and Yahoo enforcing increasingly strict deliverability policies, repeatedly sending messages to inactive, non-existent, or risky addresses can severely damage your domain’s sending score.

To ensure deliverability at every stage, indigitall provides a multi-layered verification system powered by basic (internal) checks and advanced (external) predictive analysis.

The basic validation is enabled by default for all clients across all clouds at no extra charge, this layer performs structural integrity and domain connectivity checks at entry:

1) Domain Health Verification (@domain.com):

  • Verifies if the domain has already been validated in our system.
  • Checks the TLD Blacklist to automatically reject invalid or non-standard domain endings (e.g., .test, .comm).
  • Confirms valid DNS records exist for the domain.
  • Tests the SMTP connection to verify the recipient email server is reachable.

2) Email Address Formatting:

  • Runs complete syntax and structural formatting checks across the full email string.
  • Checks against a local-part (name) blacklist to filter generic or system test prefixes (e.g., test@..., admin@...).

Multi-Level Validation Layers

Our Advanced Email Validation module analyzes every email address through a deep, 4-tier process:

  1. Infrastructure & Technical Checks

    • Advanced Syntax Validation: Detects typos, improper formatting, and illegal characters in the email address.
    • DNS & MX Record Verification: Confirms that the target domain exists, is active, and has valid mail servers configured to receive messages.
    • Real-Time SMTP Ping: Simulates the start of a direct connection with the recipient's mail server to confirm the inbox actually exists without sending a real email.
  2. Mailbox Feature Classification

    • Mailbox Status: Identifies disabled accounts or mailboxes that will bounce due to storage capacity issues.
    • Role-Based Accounts: Detects generic addresses assigned to departments or roles rather than individuals (e.g., info@, support@, admin@, sales@), which tend to dilute overall campaign engagement.
    • Disposable & Temporary Emails: Filters out throwaway addresses created through temporary email services to bypass sign-up forms.
  3. Advanced Domain Configuration Detection

    • "Catch-All" Domain Identification: Identifies domains configured to accept any incoming email (even non-existent local addresses).
    • Google Workspace & Microsoft 365 Optimization: Analyzes complex catch-all setups on major enterprise providers to significantly reduce "Unknown" status results.
  4. Toxicity Analysis & Reputation Protection

    Assigns a custom toxicity score to each contact to safeguard your sending reputation:

    • Spam Traps: Identifies honeypot addresses used by ISPs and anti-spam organizations to flag high-volume senders with poor list hygiene.
    • Complainers & Litigators: Detects users with a history of marking emails as spam, as well as accounts associated with entities prone to legal disputes (e.g., CAN-SPAM or GDPR compliance issues).
    • Breached Emails: Flags addresses that frequently appear in public data breaches or leaked internet databases.

Automated Bounce Management

Validation continues even after a campaign launches. indigitall continuously monitors response codes received from destination mail servers. When a deliverability issue occurs, the contact’s status parameter in your list automatically switches from Validated to Not Valid.

  • Hard Bounces: Result in an immediate block on the first failure (e.g., relay/access denied or non-existent recipient errors).
  • Soft Bounces: Monitored over time; the address is marked as Not Valid after 3 cumulative occurrences (e.g., quota exceeded or temporary mailbox full errors).

Execution Timing & TTL (Time to Live)

  • Triggering Validation: Validation runs automatically the moment a contact is created via the indigitall Console or API. If an unvalidated contact is added directly to a campaign, validation occurs dynamically during the pre-send phase.
  • Validation TTL: To keep data fresh while minimizing redundant calls, all validations carry a 1-year Time to Live (TTL). Contacts are automatically re-evaluated after 365 days.
