Chatbot data input

The bot’s data input is customizable for each company. This way, the client can upload various documents and web links as desired. In the case of web links, the client can also specify how frequently the bot should access the stored information to check for any updates—daily, weekly, monthly, or never. The chosen frequency should align with how often each specific website is updated and whether those changes are relevant to the chatbot.

To do this, go to the main menu of the console on the left-hand side, and navigate to the Tools / IAGen Document Manager section. On this page, select the chatbot you want to feed using the dropdown menu in the top left corner. Then, you can start adding the files and URLs you want by clicking the + icon in the top right corner.

Important notes

  1. Duplicate information or data should be avoided, as repeated content can often prevent the bot from providing accurate responses.
  2. All documents and web sources must be in the same language. The chatbot will always respond in the same language in which it is asked, regardless of the language in which the information was provided.
  3. Only .pdf and .txt files and web addresses are allowed to be uploaded. Do not upload images or videos, as the bot cannot interpret them. The information provided should be as close as possible to a plain .txt file. For example, if you upload emails as a source of information, the bot will respond in an email format (with a greeting at the beginning and a closing at the end of each answer).
  4. If the documents include links, make sure they do not appear across two lines and are not highlighted in color.

For each uploaded item, you'll see three vertical dots where you can choose to refresh the information. For example, if you've set a page to refresh monthly or never, but you've made a change you want the bot to take into account, you can click Refresh, and the bot will access the updated information. You can also download the uploaded documents to review their content, as well as edit their refresh frequency or delete them.

Adding files (only .pdf and .txt documents) as well as URLs is simple. You just need to select the type of resource and upload it (in the case of a file). For URLs, simply enter the web address and choose the refresh frequency so the bot can revisit the site and retrieve updated data.
